Happy Saturday all - I own a personal care business (an assisted living business) in PA (USA) with 215 beds and 95 employees. Great business and massive potential going forward (US is underserved by over 1MM beds nationwide FYI). I purchased it in Aug of last year and have grown from 145 residents to 165 residents. The business was pretty beat up from COVID, but are getting some decent traction now. Growth has been ok, but certainly not as quick as I was hoping. As you can imagine there are tons of business systems that need improving. My strategy has been to work from the inside out as opposed to outside in (Making sure the residents are being well cared for ie: ensuring there are adequate staff/resources/systems etc instead of focusing on sales/marketing/advertising/lead generation/conversion etc).

I'm now in a place where I'm ready to dive into focusing on the external systems/processes. My main question is do you all have any thoughts/tips/resources/book recommendations on how to use/leverage AI in those processes? I have read good threads on here talking about the power of AI, but I’m not sure where to start…. Are there good books for me to read about how to implement AI into these processes for me?

Any thoughts/feedback/recommendations welcome. Thanks!!

When you say 'external systems and processes' are you referring to lead gen and marketing efforts to grow demand? If so... I would recommend you look into AI systems you can setup and integrate (High Level is pretty popular for a base). Can use features like auto dialers w/ voice AI, text message followup, etc. Obviously, you need to be careful about spam laws, but if you have a market that has opted-in in some regard, or a funnel in place that you can gain an opt-in market for, you could use those tools to book appointments and move leads through closing flow faster. If the market is as you say, then the question is why aren't people knocking down your door to get in? It sounds like a discovery problem to me, assuming your demand estimate is right. Figuring out the answer to that question will probably guide your efforts best.

How often do you use AI yourself? Start using it on a daily basis, through ChatGPT or Claude AI and see what its capabilities are right now. This way you get a feel for how it could be used. Think about what the current bottleneck is in the business, and if AI can help.

You need to be good at describing the problem you want to solve first, before you can construct a solution.

Well, AI is a pretty broad topic. Even if its confined to marketing, there are a lot of angles we can take here. Also, you might want to know more about how to leverage...

-software you are using yourself to help you run the business (personal productivity)
- software you personally want to build to run the business/or pay for a low-end software just to automate some tasks on the business
- software you want to buy to run the business / pay for it to be built (not low-end) - this might be too expensive
or
- software you want to subscribe for the whole companie (SaaS - Software As A Service)

I think you are referring to the first one, but other options should be considered as well. It might have a good ROI (a study needs to be performed).

I think I can help you get books for all scenarios. I prefer books. Are you buying the books? If so, is there any price range?

This book might be good to give a "eagle" view on the subject itself, but it might focus too much on the big companies' needs. It's great to hear about your assisted living business growth. In Australia, aged care is federally regulated, and standards were recently raised after a Royal Commission due to Elder abuse concerns. While there are differences between aged care/elder care and assisted living, there's significant overlap in demographics and operational challenges.
Having managed aged care and hospital operations in Australia and Asia, here are my thoughts on leveraging AI in your business:

Scheduling and staffing: AI can optimise staff schedules based on resident needs, staff preferences, and historical trends.

Medication management: AI-powered systems can track medication schedules, dosages, and potential interactions.

Predictive Maintenance for Equipment: Implement AI to forecast when critical systems (like HVAC or medical equipment) will need repairs or replacements, minimising downtime.

Resource allocation: Predict and optimise resource usage (e.g., meals, supplies) based on historical data and resident preferences.

Financial forecasting: Implement AI models to predict revenue, expenses, and occupancy rates.

Compliance management: Use AI to track and ensure compliance with regulatory requirements, automatically flagging potential issues.

AI-powered translation services: For multi-lingual staff or residents' families.

Sentiment analysis: Monitor resident and family satisfaction through AI analysis of feedback and communication.

Personalised training: Use AI to create customised training programs based on each staff member's role, experience, and performance.

I suggest: Start small with one area, such as scheduling, and gradually expand as you see benefits.

As for resources, I'd recommend "AI Superpowers" by Kai-Fu Lee. But I’ve found a lot of value in YouTube channels like AI Explained and newsletters like Rundown AI. AI is evolving fast, and I follow thought leaders like Awais Khan and experts at IBM to stay updated.

The reality is, AI is moving so quickly that those who don’t jump on the bandwagon now will be left behind. Tools like ChatGPT, Claude, and Perplexity have been game-changers for me, and I can’t imagine working without them. It's great that you're exploring this now—AI’s impact will only grow in the coming years!

Thanks for your response and council. You are correct.. when I say external/outward facing systems, I'm referring to lead generation, lead conversion, marketing etc.

Right now when someone has interest in learning more about our facility, they can either click the "book a tour" feature on our website, or call our number and press 1 for admissions... where they leave a message and my executive director calls them back when she gets to it (no we don't have a sales person yet).

I wanted to start to dial in this process now and was wondering if there are any popular/recommended ai books/resources out there that I could read and learn about to see if there are components of this process that I could automate through ai. I know the process I plan to use using humans, but wanted to learn about opportunities with ai before I built the lead conversion systems and started spending a bunch of money on marketing to increase our lead count.

Love the idea of text follow up/emails/etc. Maybe even follow up thank you cards when they schedule a tour??

Our website is: www.wynwoodhouse.us if you wanna check out what I'm working with... We recently went through a rebranding process and built the website a few months ago... so far it's been working pretty well I think. We've gone from 148 residents when we bought it to 163 today (lots of folks have been in for short term stays, or have passed away... so the number if constantly fluctuating)

Thanks!

I certainly do use it some to produce documents (job descriptions, marketing material, etc..) but not much more than that.

That's why I was looking for a book or resource I can read and get a better grasp of what is involved in managing something like this once it gets rolling. I'm in the process of building my lead conversion process and wonder what aspects would be best handled by AI.

Example:
-Someone calls in (Should I have ai answer, or hire a human to - I would lean toward a human).
-Once on the call, work to schedule a tour (ideally around when a fun activity is going on in the building so they see how fun living here could be)
-make sure the call taker gets their full names, address, phone number and email address
-Once the tour is set: (write down some basic notes about who is coming in for the administrator who will meet them and take them on the tour)
-Immediately send out a thank you card to them for calling in and scheduling a tour and prepare their small gift bag with their name on it
-Call or text the day of the tour to confirm that they are still coming in (ai??)
-Send out weekly follow up calls or texts as follow up
-Send out an occasional invitation to one of our buildings when there is some exiting/free event taking place that they could come and enjoy??
-Send out a thank you card every 6 months after the tour

This is just an example of the system/process I'm building for that process from someone expressing interest to when they say yes, to when they move in.

I'm sure AI can help me with this process to be more efficient, but am unsure where to start and how I'd incorporate it into the business.

Thanks so much!

Wow wow wow. Thanks so much for this. Very Very helpful!!

These are all amazing lenses to start to look into regarding all our operations! This is insanely helpful. Really appreciate the council and reply.

I will buy AI Superpowers immediately, check out the AI Explained YouTube channel and subscribe to the Rundown AI newsletter.

Thanks so much and have an awesome day.
