I've tried everything; Wunderlist, Trello, and a few others. Find myself still going back to my trusty paper and pen.

Still have not been able to get an identical brain/body connection between writing and digital.

(BTW, Insiders get the PDF of this free if they want to print it or send it off for printing.)

You never fail to surprise me sir; I would not have thought that somebody with their ear close to the tech ground as you, would still rely on good old pen n paper.

Can't stand the stuff myself :)

I've been in and out of a couple systems, but I follow a few big pillars of the GettingThingsDone system. The big things that I find that were most useful from there are:

1) Get everything out of your head and into some sort of list (paper, Outlook, Trello, etc...) and prioritize from there
2) Batch tasks (Going to the store?....stop and get cleaners on the way, etc...)

Its easy to want to find some sort of new "tech" to fix something like this, but this is a classic case of fixing people and process first

I just bought Getting Things Done.. it's like $9 bucks on Amazon currently.

I'm currently using Trello and Habitbull. My Trello isn't getting any love lately it's getting messy. I've already signed up to Asana and I'm going to see if the workflow is better. Habitbull is great. I've already started working out 4x a week. Thank you.

Trello is the best thing that has ever happened to me...

I use my main Trello board as a DESK PLANNER, works wonders for your daily tasks. The only flaw on this is that when you put meetings in there you don't save them to your calender so you have to update your Trello and calender, but the pro's outweigh the cons big time.

All the other boards (work/projects) I use the SCRUM method you explained and it's awesome!

You can build an applet in IFTTT helps your apps and devices work together that will solve that issue for you.

This is all brilliant stuff. Lets face it, the more productive we become the more we achieve. I tripped across the power of three some time ago. It is vitally important that you practice this. This article is a great intro to The Power of Three | HuffPost.

Take the power of three philosophy and drop it into your favourite tool. Trello is good, but so is asana and my favourite is Meister, however I must admit, it have been a little unfaithful of late and been flirting with Atlaz. I am doing this as I am running several businesses and with a couple of project builds in their, Atlaz provides a "fuller" experience then Trello so you can build in project management elements like backlogs, sprints etc into your systems and share with your team.

I thought this was a cool add on for Trello when utilizing Gmail. I've been utilizing it for a few days and it has been helpful to me.

Not sure if this was mentioned or not already but it was bugging the bejesus out of me and found a solution so I had to share.

Trello does not allow cards to be placed under cards. It's infuriating (for me). I don't want to scroll right to see something that could easily fit under an existing list.

Enter this chrome extension: List Layouts for Trello

Add it to chrome, refresh trello, and you can click the extension icon to allow lists to be shown vertically, horizontally, or in a grid (preferred for me):

Could be a game changer for me....

What happens when the card above gets too long? Does the bottom one move down or get overlapped.

I found a pretty good one I like that is similar, it's called BreezePM.

What happens when the card above gets too long? Does the bottom one move down or get overlapped.

So Funny you bring that up J because I stopped using trello a year ago for the same reason and switched to favro.com. Which is a clone but with that feature and a few others added.

I was going to update this thread with a new board layout with favro, then 2 months ago they went paid only. I paid because I love it, but most people will want to use a free service.

The lists also collapse like a gmail thread in favro, it's the absolute best thing ever.



And with the side panel expanded so you can add in boards or jump to a whole other workboard...

$35 / month for a team is a great deal. For a single user as a general organizer though there's better places to put my money.

The single user plan is under $10/mo. I think i Paid $81 for the year... which for something i use every day, is pretty minimal. I'd pay the $81 and have collapsing lists and the set up I do now vs going back to Trello.... which is exactly why I paid. But yes I do wish they still had a free option.

I have no doubt there may be yet another clone out there, that has the same features as Favro and is free but I haven't been looking for it.

Yeah, you have to sign up for the free plan.. and then upgrade within that with 1 person billed at $81 a year

Gonna compare it to BreezePM and see if better

Because of this bump, I've been watching Trello videos all morning, it looks like they've been adding a lot of new features. My mind is blown with the endless possibilities to incorporate this into my business!

Depending on what you are talking about. Setting up a system to make your self more efficient is not an action fake, esp if you have productivity issues. It's the exact opposite.

However if you spend all day messing with your board rather than accomplishing things that are on it, then yes, you would be correct!

I just switched everything over to Favro now. You're right about the collapse feature! It's amazing.

I was having issues with seeing all of my lists of stuff to do at the same time. It can get overwhelming and caused me to work from the "inbox" a lot, instead of staying focused on the top 3 column.

Here's how I have it setup now:

This is great Jamie, Thanks for sharing. The best thing about this thread, is the idea that it has jump started some folks. Not everyone will use the identical system that i put up originally. I've even already modified it to work a bit better at certain times. It is flexible and should grow and adapt with you.

You have a really great example here, I hope more folks share their boards as well.

I'm still using Basecamp for team and client communication.

It's excellent for team communication because it has chat functionality by project, and it has the ability to create more formal threads and posts by project. (I use Slack with one client and communication is only by messaging it seems - which I don't find as good.)

Basecamp is pretty good for communication with clients because it sends emails to clients so they don't have to signup. It then keeps my email inbox free of client work.

It would be nice if I could see whether client emails were opened, and it would be nice if clients could send emails to a support email address so Basecamp could act as a help/service desk.


What we really don't like about Basecamp is the to-do lists and tasks.

Last month we decided to have a play with Trello for managing to-do lists.

What we like about Trello is that we can add tasks quickly via our phone, and can drag-drop them too.

Surprisingly, I prefer having communication and to-do lists in completely separate apps. I can switch from one app to the other when reading what's going on and creating a new to-do - without losing my place.

Our Trello boards are starting to look a bit out of hand now though, so I'll check out that favro.com. I prefer paying for tools personally.

I've Trello'd before, on and off, and I feel like I should love it, but I haven't found a way to get it to "stick" in my processes.

Started to use this (in Trello) last week, and started REALLY using it over the weekend, and today.

I'm liking it so far. We'll see if it sticks, but so far, so good!

My disorganization / ADD has been a long time issue for me, and I feel like I'm finally starting to work out from under it. This is icing on the cake, tbh.
