I put reoccurring task on my calendar.

I use both a calendar and this system. I use my Calendar for time blocking (so I have time to complete the task on my to-do list), and to remind me of meetings and reoccurring task.

Hopefully that may help you.

I’ve never done time blocking for my task, only GSD on Trello. Time to try putting important task like how I do meetings - block the time out.

Yes, I had a lot of personal stressors in Dec which I needed to back off of some of my writing. It is still on my list and coming soon, I just do not have a timeline because the post is comprehensive.

Thanks for this. I've used KanBan in the past, along with a range of other tools. I'd actually gone back to pen and notebook, but its hard to keep a longer term viewpoint.

Moving to this system (on Kanban though rather than Trello as you can "minimize" columns to help with the view. Will still us a notepad too - not all good idea come when you're in front of an electronic device :)

Hey Scott, One board is the key here. I have other boards, but like mentioned above, my GSD board will reference those boards or tasks so i have one large visual of everything. This creates duplication but useful duplication for efficiency sake.

I actually still write things on paper as well - mind body connection. It's more so I will take my three things and write them on a big post it and work off of that so my focus isn't on yet another screen.

I honestly do not do this. I do have other boards for certain projects but they aren't things I need to use day to day. Really to use it like that (and someone who does it successfully can jump in here) all you need to do is have associated cards go into your GSD board from the others. So any cards from the top priorities in other boards filter to your GSD inbox and you pick the top 3 from there and work on down.

Simple theory probably better explained with a graphic but I do not have one on hand!

I have spent a lot of time trying to implement a productivity system like this(GTD, Kanban, etc.). I've noticed that sooner or later, they all require some heavy amounts of energy and brain power to MAINTAIN the system itself. Only one or two days you skip in maintenance, and it already too messy and confusing.

Then I found a video of Alex Becker showing his office, and he only had a simple to do list on his screen, no special web app, no system at all. A simple to do list that he tries to complete as fast as possible.

I decided to drop all efforts of productivity and doing the same - writing down only essential and important things I have to accomplish TOMORROW and planning my day in advance.

I have a list of long term goals and a to do list, that's it.

I'm really skeptical about productivity systems, I don't know a single successful person who uses stuff like this...(I might be wrong, just sharing my opinion and I'd even appreciate if you prove me wrong)

I took it a step further and added 'My Top 25 Goals'.

Its using Warren Buffett's goal setting/delivering technique: make a list of 25 and prioritize 5 to complete in 2020.

I use Asana on a daily basis and it's changed my life. I also love the Asana mission and why it was founded (Google Justin Rosenstein).

I think these tools are very useful in team or companies with more than 2-3 people. Like that, you can share tasks and improve easily your work.

Alone, it's another thing. You can have a paper to-do list, maybe write one each day for focus today, one for the week ... It's faster to set-up and you will have the pleasure, the satisfaction to cross the task :)

Do you know the process to create a need? I believe than these tools create the need to be over efficient but in fact it doesn't. If you are already organized in your work - and you play alone or with few teammate - you don't need this kind of general tool. Maybe I'm wrong for bigger project. But it's really time consuming.

From your experience, can you evaluated the time saving with these tools ?

In other side, I think productive tools for one job, focus on a point, on specialty can really improve user experience.

I'm sure there are. At a certain point I can see the system breaking down. I think that is more dependent on how many projects and the workload you're trying to manage with these systems. This is where I'm struggling right now.

I feel like people in very high level positions and large organizations, like Alex Becker, aren't too concerned with productivity systems like this once they reach that position. They have teams of managers who have teams below them to worry about capturing and delivering on all the small details to accomplish a goal or move in a certain direction.

At my previous company, the President would have a vision and think of goals, worked on securing high level deals and partnerships, and occasionally got involved in putting out some of the more important fires. All he had was a graph paper pad on his desk. He would communicate his vision to the high level managers and officers below him. It was then up to the company officers, administrative staff, sales teams, engineering and design teams, manufacturing supervisors, manufacturing employees, and shipping staff to deliver on the vision or product, keep the gears turning, and keep the money flowing.

Right now I'm struggling with getting my productivity system in check. As my responsibilities grow, so does the amount of tasks, and my system begins to quickly break down. I work for a small mom & pop company (aviation) with limited resources.

The bulk of my work is managing the engineering and design side of things, but I do get involved in a lot of other aspects of the company. I have one other engineer below me who helps out with a lot of the design and drafting work.

My project list might look something like this:
Customer 1 Aircraft
  • Project 1
    • Design, validation, source materials, manufacturing
  • Project 2
  • Project 3
Customer 2 Aircraft
  • Project 1
  • Project 2
  • Project 3
New Aircraft Program
  • Design/develop new system 1
  • Design/develop new system 2

Factory/Manufacturing
  • Improving factory processes
  • Sourcing new manufacturing equipment for current and future projects
We always manage to deliver, but there is so much room for improvement and operating more efficiently. I'm just not sure how to unlock that because of inexperience.

Does anyone else here have a large amount of tasks and projects they deal with? Do you have a solid system and process in place or do you face similar struggles that I do?

I currently use Todoist and have a system of projects, labels, and filters that allow me to somewhat manage my enormous list of tasks. The mobile app is fantastic. The custom filters are awesome for seeing what's coming up ahead for multiple projects in one place. It's a little difficult keeping track of goals in Todoist the way you would in Trello. The only thing I am not a fan of is some of the features they have removed over time. A big one was clicking the main project and seeing every sub-project and all the items within on one page.

I tried Trello because I really like the card system. The dashboard style view is a nice way to visualize everything and it allows you to move cards around quickly and easily. I also like being able to put my goals on cards in a separate list. However, one board can't handle all of my projects, lists, and tasks. It's annoying having to navigate through 10 different boards to figure out what I have to plan for this week. I can have it all in one place with a Todoist filters.

I tried Asana, but I wasn't a huge fan of the board view. It was too big and bulky when I began to add items to the lists.

I signed up for Favro last night and I'm a big fan of it so far. It's almost a combination of Todoist and Trello. I can have one main project for a customer and then all the different boards for the individual sub-projects under that. Definitely a big improvement over Trello. I'm getting acquainted with using the calendar view to be able to see an overview of the different projects I'm working on and seeing what is going on for the week.

I think the reason my tools and systems fail or begin to breakdown is because I don't have a solid process that is dialed in and that I religiously stick to. I might follow it for a few days or during a weekly planning and review session, but then I'll stray away the next week. I'm always hunting for new tools and new ways to do things every few weeks instead of further dialing in my process. That's where my big struggle is. I remember I started making productivity rules and trying to develop a more concrete system, but I strayed away from many of the rules and from the excel sheet tracking my goals.

I think my biggest struggle is accountability. I don't really have anyone to be accountable to besides myself. I can procrastinate on a project or push tasks and goals back, as long as at the end of the day it's delivered on the agreed upon date. I need to develop a system where I'm accountable to myself, accountable to the employees under me, and accountable to the big boss above me. I don't really have anything like that in place right now.

@LightHouse, after reading through this thread and some of your others, I'm really considering signing up for your coaching. I think I need to learn how to set goals more effectively in my personal and work life. I need to be able to breakdown goals and projects into tasks and be able to efficiently execute them. I need to develop a really solid system that I stick with and I need to hold myself accountable.

I was about to book a call but didn‘t wish to waste your time as I’m sure my feedback would help you, but not compared to your waiting list and 2020 raised fees lol!

I have got it in a way, just that bucket I need to dump into the well everyday is more like a glass ...... and it hurts me knowing how far I’ve come and just that it would bring me so much satisfaction to see a week worth of bucket loads. And satisfaction is a big thing, I’ve realized that my creative mind will always be able to fashion ’radical new pathways to glorious destinations’ but there is something to feeling deeply satisfied every day and I really want that.

Wanted to thank you for your talk and some of the other guides you have put out.

Note you wrote this: “My vision is for someone to find their way to TFL that is either starting, wants to start, or was moving and fell off. Drop in and start up my new system within 2-3 hours having paid nothing but attention.... and get right on track.“

I think that completing this Best Self-Journal I got is probably better than switching systema, but from your posts, the system, your talk - yes these 2 hours of attention, walking, exercising listening (planned to haven’t done that before!) were really worth it so thank you.

I think a key crucial thing is this accountability, and on one of your posts you were getting towards a way of ‘finding a partner’ but this wasn’t really fleshed out as much.

* Focusmate is really good by the way as there is a person who is ‘holding you accountable’ at least for an hour - but it’s that deeper later that’s elusive. I can go on crazy retreats, fastI got, boot camps, meditation, shit most people would not really do but banging it out properly every day I think needs some of that element of accountability thats present at these things.

If I can’t speak to you I would just like to know what else I can do at my stage?
Is there a methodology you’d recommend to find ones ?
Does the INSIDERS group have an embedded level of accountability?

Glad I’m here again, because I feel I’m on the right track but it does wear me down not getting the stuff I need to get done.

I saw you mention Asana a couple of times. I'm using this for my team but didn't like the kanban view of the boards. Are you using them in Asana or are you doing the GSD system on a whole separate platform? Thanks for the input!

For everyone using this system, what platform are you using it on and why?
I've installed and played with a few of them but it would be nice to have experienced user feedback.

- Trello
- Favro
- Kanban Flow
- Zenkit
- Asana
- Atlassian (owns Favro but this is a separate platform)

On another note. I've read tons over the past 2 years on the forum but haven't posted much. Main reason: drowning in unorganised workflows and chaos. I suspect many many entrepreneurs are in this situation. The only reason I'm posting this now is I've managed to create islands of order the last weeks using this system.
I plan to make a post about my own situation and business soon once I'm a bit further down the road to maximum efficiency. Imho, there's no need for more information for most entrepreneurs but having a working accountability system and way to increase focus. Which is becoming more and more a problem in today's world.

Sorry for the necro (or you're welcome for the bump ;) ) but thought this deserved another shout.

One of my struggles over the years has been facing uncertainty... I'm used to being hyper-confident 99% of the time, so those moments of insecurity come as a surprise that build anxiety, fear, doubt, and, most crippling...

Avoidance.

I avoid people, responsibilities, even needs, because there's one thing I can't deal with head on. A bottleneck. It gets in the way of everything else. It's embarrassing... and I can't get shit done.

My main way of getting through that is by convincing myself to. I write a sales letter or something to myself. Find a reason or purpose for moving past that. But sometimes, that's not enough. So I'm either stuck doing nothing and hiding from shit, or I'm forced to abandon the source of uncertainty.

As you might imagine, both come at significant cost.

But I've learned how to deal with this now and minimize the damage caused by avoidance. I can nip it in the bud so to say...

And the GSD system is integral to that.

I've tried and used dozens of different methods to keep up my productivity and myself accountable, but this one takes the cake.

It's as simple as changing my environment to reset and get out of the glut, and injecting the GSD system into my new environment routine to focus on the problem. What used to take me months to solve now takes me 1-3 days. Track that as unplanned vacation :p

I still haven't managed to build it into a sustainable habit and get addicted to those tasks moving to Completed, so it takes some effort and discipline to stick to it, but whenever I do, things just magically get done.

Here is the board layout that I use in Click-Up (slight variation on the system). It's all I need to sort out my tasks and focus on what's ahead of me. That enables me to power through.

I've got one single goal as my beacon, and 3 main areas of activity that push me towards that goal. I use tags to differentiate between activity areas and types.

The tasks I include are usually pretty general, like "write X" or "contact Y" so I don't waste time detailing what I need to do and how to do it. I've got all that in my head.

Tasks come in two types: that I can do now (Today/Tomorrow), and that I have to do a little bit at a time (Ongoing), the latter generally having between 1 week and a 3-month timeframe. Everything on the board is intended to be completed within 3 months from inclusion, except the Someday section. Those are planned for next quarter or year, as they're big investments that don't relate to my current goal/areas of activity.

Here's an example of a now task:

No description, no bullshit. Just shit I need to get done. cb = copywriting business, w = writing. Super simple stuff.

Flag is priority, blue being normal. I've got urgent (asap), high (like, now please), normal (now, but later), and low (now, but after all the other nows). They mostly reflect the order in which they move from the tomorrow section into the today section, and how I focus on them. I'll try really hard not to end my day before I'm done with all urgent/high tasks.

I started off in March this year and, so far, despite slipping and not using the system for 2-3 months out of 7...

I've got twice as much shit done than I did all of last year...

Or, well, twice is an understatement. Revenue-wise it's about 3x, relationship-wise it's over 10x. And relationships are way more valuable. Several of them are also building towards very lucrative business.

Finally, whenever I meet someone who is struggling to get shit done or is lacking focus in their actions... being busy without showing results... I tell them about GSD and Kanban so they can re-focus their activity and reach their goals. It's worth a shot.

And chances are...

Spending 15 minutes in the morning on this will make the difference between feeling like you were busy doing nothing all day, and feeling like you truly got shit done.

this ^ made me think of lean thinking (note, I know a lot of people call it lean mfging, but if applied in the right way, it becomes lean thinking to all aspects of life.

Too long and didn't watch it? they took a 45 second process, and mowed it down to 13 seconds. if they run 100 units/day then they save 3200 seconds per day (53 minutes) PER DAY!

it's quality that matters. Fretting about seconds wastes time. it's weird that even sales managers and warehouse owners keep falling for this trap of speed, when most of them are just running on a treadmill.

good points to be made! Employee safety should be #1 goal, and after that, good use of their time :)

I see A LOT of WASTED potential in employees "just doing their job" that don't think about improving anything. If you can get your employees engaged in thinking about stuff, they will be 2x as productive up-front, and 10x as productive in a year or two.

Also, sounds like that company has a "top-down" approach towards doing things, if they would enable workers to figure out some solutions by themselves without asking for permission then they might be surprised to see what happens (decreased accidents, faster turn around time, less mistakes, etc..)

Hey, I know there was some discussion about tools in this thread before, not sure if someone mentioned this or not (could not find anything), but if Trello is not good - take a look at quire.io. So far I love it.

Excellent to hear! I mention it several times in this thread already, but this is still highly relevant in 2021 and will be for some time. No system or tool works unless you commit to it.

So are you just interested.. or committed?
