Hey, hope @LightHouse does not mind this.

I found this very similar (or maybe even inspired) by David Allens "Getting Things Done" productivity bible. So maybe someone wants to go deeper into this, might be an interesting read.

When I started implementing GTD/GSD in the first few days I had to figure out what to do afternoon, because I did more than I do in two days in a half day :D I guess it is not a bad problem to have :D

What I love is simplicity. Regarding tools - I still play with different tools a bit. I don't use kanban style tools. I use Calendar, MS To Do and doc or keep for project planning. Would love to switch everything to one place, but Google Tasks just looks too messy for me.

Regarding tools, I try to go as simple as possible and this is why.
1. I try to build my productivity around the system, not the tool. Even the greatest tools can go tits up. There was a story that one of the greatest to do apps Todoist go out of business for some time. Everyone had to migrate. And migrating is like switching houses - the process sucks. If google docs will shut, I will switch to word or whatever.

2. I want to add team members simply, so they don't have to pay or I have to pay additionally.

3. I want to have all three parts - Calendar, To Do list and PM tool as integrated as possible.

This is a great question, thanks for asking @Taktik . In the original version in Trello here, you would need to put them all in the same board but separate them with a signal to you, like coloring the cards.

In the newer versions, we split those boards out. The reason it's different is because Trello has too many steps to switch boards to see things.

This is actually a really critical thing in getting things done at peak efficiency. Good goal setting is a key in the part of this process and a major reason why this thread is getting a new version.

Your goals should be set in a way that clears a path to everything you need to do. Each thing in your task list should relate to one of your 3-5 goals.

The issue most have, however, is their goals are too small, too focused, and ineffective.

I'm glad it is giving you much needed clarity @Garret S. .

These responses drive me to more research, better understanding, and ultimately more actionable content to post here.

excellent feedback. The benefit is there as well to have a phone app to be able to dump all of your items into an inbox where ever you are, this is really a key to the system.

I beat you to it haha. I was using Trello (like in your example) and put the app on my phone, so when I have an idea I can put it straight into the grand scheme of things. Thanks again, this is neat!

Great post.
Have long been a fan of GTD, and will look into the Trello GSD method.
One of my problem areas is I have a wide range of interests, and am always looking for the "best way" to go about doing something. This usually leads to analysis paralysis.
A few tools of note. Have long used EssentialPIM (an all in one productivity tool) and in recent years OneNote to keep detailed notes in (mainly went to due to built-in OCR capability for receipts and such. As these files have become quite large and OneNote has gotten sluggish, I may go back to using EssentialPIM for most notes. Wish that either had built-in support for sortable spreadsheets.

Shoot. Those essential PIM's looks exactly what I was looking for :) Are you using it?

The only problem with this is that hey do not have Mac or Web versions :)

@LightHouse Thanks for sharing such a Gem!

It's exactly a week since I implemented the trello system exactly as it's laid out by Light House.

I'm already 10x more productive. In fact, my biggest issue was OVERWHELM which demotivated me.

This system gives me the confidence and Zero overwhelm issue. I have a 100 task in the backlog list, however, I am only looking at the "Hitlist" (3 items) I am looking to finish that day.

The only change I did though was, I added another list called "This Weeks" and I added the backlog for the week.

The reason being, sometimes I will have all 3 tasks being a dependent one. So I will be trying to call and finish it up, but it goes to VM and I'm sitting waiting.

So I said while I am waiting on those, if I can't work on any of those 3, I will use the "This weeks" task as a filler in the meantime.

Anyone who has an inaction problem due to overwhelm, must give this a try.

My $0.02

I put reoccurring task on my calendar.

I use both a calendar and this system. I use my Calendar for time blocking (so I have time to complete the task on my to-do list), and to remind me of meetings and reoccurring task.

Hopefully that may help you.

Have a separate list just for recurring task with the frequency mentioned in the headline...

The other way is set this up as above and put it in your calendar...

I put reoccurring task on my calendar.

I use both a calendar and this system. I use my Calendar for time blocking (so I have time to complete the task on my to-do list), and to remind me of meetings and reoccurring task.

Hopefully that may help you.

Yes I use a combo of both too. @LightHouse's brilliant optimisation of Trello for all the tasks and a calendar to schedule the day and fit in appointments and reoccurring tasks.

I don’t use Trello anymore, I use Clubhouse. But for these I have a special list for calendar reminders. Then I put them on my calendar and have Zapier create the card in my clubhouse list.

You can do the same with a calendar reminder creating cards for you in Trello. Hope that helps...

I know I couldn’t use both this system and a calendar, personally. That defeats the purpose of having everything in one place.

@LightHouse Thanks for that system, I love it too. Before I started to use Trello, I was kind of lost in all my tasks, it was very chaotic. Now I look at my goals first and then I decide what to work on. It helps me to decide what is important and stay focused. Now I work more on the important things and do not lose tasks anymore.

It has been an excellent resource and has helped me managed an overwhelming schedule since I took it up a month+ ago, the mental burden is taken away from the shoulders.
