I was wondering how you folks kept track of invoices sent as well as payments received. I’ve found it easy to forget about certain invoice payments I’m owed when I’m not tracking it diligently with a spreadsheet.

Pay for an accounting system like ZipBooks, Wave, Xero, or Freshbooks. Avoid anything by Intuit (quickbooks).

Thanks for the suggestions! Do these systems remind you when a customer invoice is outstanding? Cause I forget to collect them sometimes and then lose out on that cash when I try to chase down customers

Do these systems remind you when a customer invoice is outstanding?

Yes, usually these systems allow you to set it for a weekly, monthly, or some other time period reminder.

I use Clearbooks, as MJ says stay away from Quickbooks, its got way to many popup shit, that trys to help but does not.

I’m using Freshbooks, and encourage clients to enter billing details so payments are taken automatically when the automated monthly invoice is sent.

No not really, I wasn't really set up on QBO because it was a train-wreck.

We have our own software for it. The CEO, long before I was there, hired some programmers in the 80's and built software to run just about everything because all the stuff people use now to manage their business didn't exist.

I have assisted many small business operators deal with their failures, and in the case of trades people in particular a common factor always appeared:

They were slack in sending out invoices for the work they had done, and even those who had sent out invoices failed to do any follow up to receive payment.

Effectively they were operating as charities! They were donating their time free of charge.

Once a debtor senses that you are not pushing for payment, they will know that you are a soft touch and they will manufacture excuses.

The entrepreneurial spirit in my family has led to 5 of my grandsons setting up their own small businesses. Before they took the plunge I lectured them on the subject, and I am pleased and relieved to say that all of their businesses are prospering, and they are comfortably providing for their growing families.

They make sure they get paid.

Everyone hates the systems I use lmao

but we'll be handling 3000 transactions this year and will spend only a handful of hours on billing.

quickbooks + recurring sales receipts + saved card on file = time saved. It runs automatically. No reminding customers. No chasing invoices.
