This post will, in my opinion, make you super effective and will limit action faking over action taking; unless you really, really enjoy lying to yourself, in which case I can't help you.

Background

So I have been reading the Effective Executive by Peter Drucker, and he reminded me of something that I wanted to start doing a couple of years ago (not long after reading TMF ) but couldn't find any good apps.

Now I have found Gleeo, which before you iphone users carry on, is only an Android app, so you'll have to find the Apple version, or just wake up and realise that Androids are much better for business applications, and throw your overpriced toy in the bin (I mean sell it) and buy a proper phone.

Reason

The problem with todo lists, and making lists in general, that it is easy to fall into the trap of making practically everything a top priority.

I use Trello (recommended to me by TMF Forum, however am no longer an INSIDERS so can't link the post), and it works great for me, however I have noticed its limitations, in that it shows me what I should be doing, and to some extent it shows me what I have done that day, however it doesn't really tell the full story.

For instance it is easy for me to start on TASK A and then get sucked into another 10 tasks before I finish TASK A, and Trello will simply say that I finished the task and that's that.

Plus todo lists can start to look a bit spartan, so we (I mean, I) fill them with action fakes, stuff to make us feel like we're doing shit, when we're not doing shit.

App Overview

Gleeo is an excellent (completely free! Seriously I would happily pay these guys, but can't!) Android phone app which allows you to log your time and view it in an easy to digest pleasing way. At the end of the day, week, whenever you want, you can look at a time report of your activities and suss out whether you're on the right track, or need to seriously overhaul your time management structure.

Strategy

Gleeo is split up into Domains, within each Domain you can have Projects, within each Project you have Tasks.

The whole point of this app, is to maximise your time, and use it in the most effective way possible, so that being said the first domain you set up should be Effective.

Then within the Effective Domain, you put the project that is going to effect your bottom line, the most. So it is not making a new logo, or designing a presentation, it is the thing that has the most direct effect on your wealth.

So if you're a plumber, then it is organising new clients, and carrying out work, not buying tools or posting fliers out, even though they are important.

So for example for me, I have a coding project for which I am learning Solidity and React, I am also making money writing online, so my effective domain looks like this:

Domain - Effective
Project 1 - Ethereum coding
Task 1 - Course Classes
Task 2 - React Coding
Task 3 - Project Research
Project 2 - Income
Task 1 - Article writing
Task 2 - Article Research
Project 3 - Finances
Task 1 - Banking
Task 2 - Crypto
Task 3 - Taxes

OK, so I'm not going to give you all my domains, projects and tasks, save to say that I have a personal domain, an admin domain a someday domain, and a time waste domain, where I put stuff like social media, incoming/outgoing calls (which I have in other domains also), messing about on the computer, etc.

Now I can see at a glance, how much time I am spending on the effective stuff, but also I can see if I'm neglecting family, cleaning, and all the mundane shit that I'll pay someone to do someday (not the family shit, that's fun).

So yeah, there you go, try it out, the mere act of logging your time will make you more efficient anyway, and it will stop you fooling yourself that 'you actually got quite a lot done today', when you clearly haven't.

YES...DROID all the way. Sooooo much better/easier to use with far fewer limitations.

Wish they had a desktop version otherwise as I would use it then.

I can't be productive on anything mobile, tablet or smartphone. Tapping a screen doesn't work for me.

The UI always feel very messy to me, but more importantly, it feels like I'm spending time managing Trello to manage my work LOL

Yeah i completely agree, it feels a bit clunky to be used as to do list.

I'm going to try a restructure it so its only for mid/long term goals, and anything which doesn't need updating daily.

I bought a cheap journal with a daily calendar and to do list section on it, this seems to be working for me.
It's much quicker to just jot something down than get out an app every time.

Well, you actually CAN pay them since they seem to have some kind of Premium for sync, and a Web App that you can use on desktop: Pricing

I have recently been playing around with SetApp ("The Netflix of Apps"), and found this: Timing: the best automatic Mac time tracker for productive professionals and freelancers.
It basically watches everything you do on your computer, the app you use, the websites you go too, for how long, etc. When you come back from a break, it registers how long you've been away from your computer and asks you what you have been up to. You can then assign each entry to a project. I'm still new to this app, but it seems promising.

I also hate Trello, the UI sucks and I don't find it helps me with my To-Dos. Maybe it is great for teams with a lot of people. I personally use Todoist, available on all platforms and very versatile.

Aha! Thanks to @Colibri I see they have indeed got a desktop app, and a subscription service which you only need if you want to sync across devices.

On further investigation it's a web app, so I think you'd still have to download onto your phone, but at least you can control from your desktop when logged onto the web. You would then need to pay their subscription fees to sync your data, it's a couple of bucks per month, pretty good I think!

That's pretty cool, I might consider using that if they had it for PC.

I love Trello, if you search the forum for the GSD (Get Shit Done) system, you'll see the best way to use Trello, I use it and it rocks, but like I said in the OP, you need some time management along with it.

You could probably use the User Agent Switcher chrome extension to be able to have the app recognize the desktop as a phone or tablet. I have no idea though, I haven't tried it with this app though.

edit: nevermind, I just tried it and it didn't work :/

Falls a bit more into the "to-do list" category, but an app that I've used and found helpful is Strides. They offer a pretty decent desktop version in addition to their mobile apps.

Another (albeit more clunky) solution that I have used to bring exclusively mobile apps to my PC is Bluestacks, which is essentially an Android emulator.
