I know nothing about insurance, but my cousin is an agent at IOA and I forwarded this over.

He said it's not entirely uncommon for a commercial event, but not at a resort unless it's for pyrotechnics. (atomic bomb anyone???)

Additionally, he says the risk management team may have up the ante with the staff recently, and they could be confused as to what our group is. Typically if you clarify, especially having rented the venue prior, they'll get off their high horse.

Otherwise, there's someone at his office that can write a short policy.

As much as we may joke about chandelier hanging and beer drinking, I'm pretty sure we did no damages whatsoever to the hotel. Can you clarify this, Kenric?

If that is the case, and we're a group having a business meeting, then I agree w/MtnMan-- someone over at the hotel will prolly be able to cross out that line about insurance.

It will be an interesting exercise.

It would also be valuable for you to have a competing bid, from someone close by.

Well, they aren't able to remove the insurance portion so we may have to go look elsewhere. If anyone else wants to get in touch with them I can give you the contact information.

If the policy cost is only $100 or $200, we can roll it into the fees.

Did you check w/the Chamber? Is this normal?

Russ,

Honestly, I'm not very motivated to be doing this right now. Leaving for vacation in a few days. If someone else wants to run with the ball that would be fine. I was hoping this would be an easy, sign the contract and plop down a deposit to get it over with.

The easiest route would probably be to just get the $1,000,000 insurance policy for the weekend. Anyone have any experience with that?

So, we can look at alternative locations, but I probably won't do it until later on, like in September.

I LOVE that comment!

I want to be a Kenric when I grow up!:yourock:

The dates should be 2/24/11-2/27/11.

Vacation is when I hop on a plane somewhere. :)

But of course, I still work during my vacations!

I don't want to come off as being pushy-- but all of us (hotels) are seeing upticks, and are raising prices accordingly.

I'd suggest someone like Bobbo run interference and get crackin' on the insurance thing, if possible.

If it's reasonable, we can go ahead and sign.

Last thing I'd want to have happen is be looking at double the cost for rooms. While some of the B&Pers can easily afford this, the hallmark of B&P has always been trying to make it so all kinds of folks could afford it.

BflBob, you willing to pick up the torch on this? Or Sonya? Or Jon Lee? Or . . . ?

They said that they would honor the room price even if we didn't do the conference there. But let's see what Bob finds out tomorrow.

It looks like we can get coverage that will work for about $200 for the event. I'm waiting for another quote to come in.

I'm assuming that amount is "within reason".

Do you know if we need to have the policy in place to book the room, or just in time for the event?

I can front you the $$$ if you need it, Bobbo.

Bio, does it make sense to tie this up with a bow before you leave town?

(gee, I just read the above. I guess I am pushy . . . I'm going off to sit in the corner . . .)

Better yet, I'll put on my black robe, and take a walk w/my buddies:

I'm not too worried about the $$'s Russ.

I'll just need more specific info in order to lock it in.

(Contact, address, # of attendees, ages, etc.)

You know them darned insurance folks...only insure them if they don't need it!

We need to get the insurance before the event. However, I need to put down $500 to get the room reserved and that is non-refundable if we can't get insurance.

Do we need to set a number, Bobbo?

Like, say we will have up to 75 people for this event?

I'm really hoping to be able to attend this next year, so will be keeping a close watch on this thread for updates - and will have to see how the next couple of months go.

Can anyone advise what the nearest international airport to the event location is?

Haven't done anything. I haven't heard from Bob on the insurance either. Will probably need someone else to put the $500 deposit down on credit after my fiasco today.

I would think that this would be a great time to negotiate with convention type resort properties in Arizona right now, with the recent boycotts and such.

Ya, just don't tell them you're trying to sneak Canadians into the country ;)

Bobbo-

I think Bio has to put a $500 deposit down, and his CC's are kinda boofoo'd right now.

Perhaps we should team up to get the $500-- I'd hate to see our negotiated rate go down the toity. Things have picked back up in the hotel biz, so most every place has raised their rates.

Talked to Firesky this morning. They are waiving the insurance policy requirement. They will send over a new contract today. $179 room rates, we need 18 room nights. $1000 food beverage minimum. The only new thing is that our actual conference is not guaranteed, meaning they will put us in whichever room is the best fit when the time gets closer. I thought this way OK since we had the curtains drawn most of the time even though we had the room with the windows.

Are they guaranteeing the size of the room? As in seating capacity?

(hate to wind up in the janitor's closet ;) )

If so, then this is awesome. I owe you dinner, bro. :)
