I used to think “man, it’s nice we have a service business so we don’t have to worry about inventory, vendors, or any of that BS that retail stores deal with!”
And then mowers would break…
We kept backups in storage…
“Wait, which ones worked and which ones had problems. What was wrong with this one again? Hey who took one of the good mowers? How many spare wheels do we have again? Did you order them?”
And now we have inventory.. lol
To fix this we’re going to be implementing an inventory database, assigning serial numbers to equipment, and a kanban system for consumables and parts.
Everything is assigned. The database will have notes about the equipment.
The broken equipment will have notes on what’s wrong with it.
And our consumables and spare parts will be organized with a kanban card and bin system.
All inventory has two bins. One to use, another as backup, and when one runs out, there’s a card that has all of the necessary information about it. The employee puts the card in the ordering box and anything in the ordering box gets ordered and the card goes back into the first bin when it’s replaced.
Here’s a video to explain.

This way, you know what you have, you don’t run out, and everything stays organized.
We will implement this for everything from spare wheels to bolts to fertilizer.
